Data Mappings

Data mappings gives you a more flexible way of using imports. It opens up to join a wider frame of files to the standard imports in Pro based on the import file format. It also gives you a simple way to adjust any file changes to a current customized import.

In the data mappings you have several adjustable tools to join the file with the import. You are able to filter rows based on values in specified columns, remove unwanted characters from columns (e.g. 010 - 564 54 17 -> 0105645417), change/add value in column based on column value (e.g. change MB to Kb) and limit values to a specific amount of characters.

The import can have multiple data mappings connected to be used in combination with different import files.

Note: To use data mappings your import need to have a file definition.

How to - Show Data Mappings

  1. Click Icon Reports Integrations.png Reports & Integrations
    • The view reports & integrations is displayed
  2. Open the appropriate import in the import tab
  3. Open the data mappings tab

How to - Create Data Mappings

  1. Click add Icon Add.png to create a new data mapping
  2. Enter a name of the data mapping
  3. Click choose file to upload a reference file from your local computer
  4. Select map by in the drop down list
    • Column number - If you want to map by column number
    • Column name - If you want to map by column name
  5. Check the column names in the first data row check box if the first row contains the column names
    • Note: This option is not selectable if you choose to map by column name
  6. Enter the first data row number
  7. Select column separator in the drop down list, space, tab, semicolon, comma, pipe or custom column separator
    • Enter a value, only apply if you select custom column separator
  8. Click upload
    1. Select to map columns
      • Select columns to map in the left column and click the arrow button Icon Move Selected.png to move the selected columns to map to the right column
      • By using the double arrow button Icon Move All.png, you can move all columns to map from the left column to the right column
      • Enter a separator value if you select multiple columns to map
  9. Click refresh to change the setting for your uploaded file
    • Note: If you click refresh the mapped columns will be reset
  10. Click save
    • Note: All of the import columns need to be mapped to a column in the file before you click save
  11. Select if you want to create a filter and/or a modification:
  12. Click create filter
    1. Enter a name
    2. Check the active box if you want the filter to be active
    3. Select priority in the dropdown list
    4. Select to keep or discard rows that matches the following rules
    5. Enter a description
    6. Click add rule Icon Add Rule Action.png to add a rule
      • Select column, condition and value
      • Note: If you select more than one rule select to separate by and/or
    7. Click add child rule Icon Add Child Rule.png to add a child rule
    8. Click save
  13. Click create modification
    1. Enter a name
    2. Check the active box if you want the modification to be active
    3. Select priority in the dropdown list
    4. Enter a description
    5. Click add action Icon Add Rule Action.png to add an action
      • Select column, condition and result
    6. Click add action with rule Icon Add Action with Rule.png to add an action with a rule
    7. Click add child rule Icon Add Child Rule.png to add a child rule
    8. Click save
      • Open the tab filter & modifications to view or change priority


How to - Edit a Data Mappings

  1. Open the appropriate import type in the Reports & Integrations view
  2. Open the data mapping tab
  3. Click edit Icon Edit.png next to the data mapping you want to edit
    • The edit view opens
  4. Upload a new reference file, change the settings and/or filters and modifications for the data mapping

How to - Remove a Data Mapping

  1. Open the appropriate import type in the Reports & Integrations view
  2. Open the data mapping tab
  3. Check the box for the data mappings you want to delete
  4. Click the icon Icon Links.png to open the action menu in the toolbar above the table, and select delete

How to - Export Data Mappings to File

  1. Open the appropriate import type in the Reports & Integrations view
  2. Open the data mapping tab
  3. Check the box for the data mappings you want to export to file
  4. Click the icon Icon Links.png to open the action menu in the toolbar above the table
  5. Select export to file
    • Exports selected data mappings to a file, and you can select how to separate the items; with semicolon, tab, comma or excel
