E-mail Users
From time to time there is a need to be able to reach out to users and staff and send messages with general or more system specific information. It may be that a report is ready, that there is a new service available or that the system will be down for maintenance. With the e-mail users function, this can be done directly in Pro 9.
How to - Select Recipients and Send E-mail
- You can select recipients in four ways; by selecting users, by selecting persons, by selecting recipients from bags or by typing an e-mail address
- It's possible to combine these and send to both users, persons, persons from bag and given e-mail addresses
 
 - Click expand 
 on the section you want to use; users, persons, recipients from bags or enter address
- Select user - you can filter the user list to show only users with a specific role
 - Select persons
 - Select recipients from bags - go to item
 - Select enter address - enter the e-mail address you want to send a message to and click the arrow to add it in the list, repeat to add more recipients
 
 - Select users/persons/recipients from bags:
 - If you have added anyone by mistake, select that user/person/recipients from bags/e-mail address in the right column and click delete 

 - Enter a subject for the message
 - Select a template if you want to use a predefined text
- Filter the templates by selecting category and/or language
 
 - Enter the message text in the body field
- Drag in the right bottom corner of the field to change size horizontally and/or vertically.
 
 - Choose if you want to attach a file by clicking choose file and select the file you want to attach
- It's not possible to add more than one file
 
 - Click send to send the e-mail to the selected recipients
 
Note: Normally the system is set up with a generic sender address, which means the recipients can't reply directly to the e-mail. Therefore, always make sure to inform them about who to turn to if they have any questions.
