Edit Bags

In this view the existing bags can be edited. You can change the name of the bag, remove members of the bag, change permissions of the bag or do actions on the bag members. The toolbar can be used to filter the list of bags, and you can also sort the list by clicking the column headers.

Creating a new bag or adding members to a bag is done by making a search in the Search view and selecting what members you want to add.

The Edit bags view also gives you the possibility to perform different actions on the items in the bags, e.g. to view attributes or book services.

How to - Show Edit Bags

  1. Click Icon Main Search.png Search
  2. Open the Links menu Icon Links.png and select Edit bags
  3. Click on the name of the bag you want to edit
    • The Edit bags view is displayed

How to - Edit Bags

  1. Change name or description of the bag if needed
  2. Fill bag members automatically from saved search
    • Select your bag in the drop-down list
    • The bag is automatically updated every night based on the saved search
  3. Set permissions for users with access to the bag
    • Check the allow edit box if user should be able to edit the bag
    • Check the allow delete box if the user should be able to delete the bag
    • Check the allow share box if the user should be able to share the bag to other users
  4. Click save

Note: Creator of the bag have all permissions (edit, share, delete) and is the only user that is allowed to change these permissions.

How to - Delete Bag members

  1. Check the box for each member you want to delete
  2. Click the icon Icon Links.png to open the action menu in the toolbar above the table, and select delete
    • Note: When removing members from the bag, note that this is done directly. No save is needed.

How to - Perform actions on Bag members

  1. Check the box for each member you want to perform actions on
  2. Click the icon Icon Links.png to open the action menu in the toolbar above the table
    Objects
    • Add to bag - Adds selected items to the selected bag
    • Add to answer group - Adds selected items to the selected answer group
    • Book service - Read more about how to book services
    • Move - Moves the item to a new organization group
    • Reports - Access to a selection of reports adjusted to search result (If use of separate period lists for main groups, this option is not available when choosing objects from different main groups at the same time.)
    • Attributes
      • Update attribute - Allows you to set attribute values
      • Show report - Allows you to show a report with the attributes
      • Send email with attributes - To send an email with attributes
    • Send email to owner(s) of the object(s) - To send email
    • Export to file - Exports selected items to a file, and you can select how to separate the items; with semicolon, tab, comma or excel

    • Add to bag - Adds selected items to the selected bag

    • Move - Moves the item to a new organization group
    • Reports - Access to a selection of reports adjusted to search result
    • Add to consumption group - Adds selected items to the selected consumption group
    • Attributes
      • Update attribute - Allows you to set attribute values

    • Delete - Deletes the selected item
    • Export to file - Exports selected items to a file, and you can select how to separate the items; with semicolon, tab, comma or excel

How to - Share Bag Permissions

  1. Open share bag(s) by clicking the expand button Icon Expand.png
  2. Enter the user name (or a part of the user name) in search user
    • You can only search on the username, not the users real name. If the username doesn't exist or if the user is already in the list, the search will not give any result
  3. Click search Icon Search.png
    • A list of all users who match the search query is presented
  4. Check the boxes for the users you want to add
  5. Click the icon Icon Links.png to open the action menu in the toolbar above the table, and select add user permissions
    • The user is moved to shared bag permissions above

How to - Remove Share Bag Permissions

  1. Check the boxes for the users you want to remove permissions for
  2. Click the icon Icon Links.png to open the action menu in the toolbar above the table, and select remove permissions
    • Note: When removing members from the share bag permissions, note that this is done directly. No save is needed

How to - Delete Bags

  1. Check the box for each bag you want to delete
  2. Click the icon Icon Links.png to open the action menu in the toolbar above the table, and select delete
    • The bag is immediately deleted

How to - Perform Actions on Bags

  1. Check the boxes for the bags you want to perform actions on
  2. Open the action menu Icon Links.png and select what action to perform
    • Share bag(s)
    • Book services
    • Move objects
    • Attributes
    - Update, show report for, send an email with attributes or send mail to person(s)
    • Delete
    • Export to file, semicolon, tab, comma or excel


How to - Connect to Bag

This function makes it possible to automatically update bags based on your saved search.

  1. Click Icon Main Search.png Search
  2. Click save Icon Save Filled.png in the upper right corner
  3. Select your saved search in the saved searches drop-down list
  4. Check the box connect to bag
    • Select new
    • Select bag type bag of objects, bag of persons or bag of billing groups
    • Enter a name for the new bag
      - or -
    • Select your bag in the drop-down list
  5. Click save
    • The bag is automatically updated every night based on the saved search

Auto creation, updates and deletes of bags based on a person manager connection can be managed by the AD/HR integration.
