Automatic Imports

Imports that are done regularly each month can be scheduled to be handled automatically. In the Automatic imports view, you make the settings for the scheduled imports.

If more than one file is to be imported, create one schedule per file and create separate catalogs to place the files in.

You can schedule a test run of the import a couple of days before the real run of the import. You will then get an email with information on the test run, to be able to correct any errors before the real run of the import. When the import is done, the file will be moved to a sub catalog.

If there are any errors during a run of the import, an alarm will be sent via email (if configured), and the alarm is also shown in the Pro 9 interface. You can also choose to get a PDF report showing the import result sent to you via email.


How to - Schedule an Import

To be able to schedule an import you have to perform the following actions:

  1. Open the specific import you want to schedule
  2. Click Schedule this import in the Links menu Icon Links Black.png
  3. Enter a name for the scheduling of the import
  4. Enter a path to the location where the file is
  5. Enter the file mask
    • E.g. if you know that the name of the file to be imported always ends with "invoice.txt" you can enter *invoice.txt
    • Note: It's important that there are no other files with the same file name ending in the same folder
  6. Enter if the import only should be run as a test by checking try
  7. Define that the import should be scheduled by ensuring that the schedule box is checked
  8. Define according to which time zone the scheduling should be handled
  9. Define the day of the month the import should run in the monthly field
  10. Define what time of the day the import should run in the start at field
  11. Select if a report should be sent out via email when the import is done by checking send report
  12. Enter what email addresses to send the report to in the address field
    • If the report is to be sent to more than one email address, enter them separated by semicolons
  13. Select if the import should apply to the previous or the current period in the period field
  14. Click add to save the scheduling of the import


Note: It is possible to run the same import simultaneous and import more the one file at the time


How to - Edit an Existing Scheduled Import

At the bottom of the import view, the option automatic imports is shown

  1. If needed, click expand Icon Expand.png next to automatic imports to show this section
    • A list of the existing scheduled imports is shown
  2. Select what scheduled import you want to see the settings for and click settings for import Icon Edit.png
    • The settings are shown
  3. Edit the fields that need editing and then click save settings
