User Permissions - Create, Find and Edit Users

The Application Security role controls what the organization's users can see and do in Pro 9. All users to work with Pro 9 or view reports must be in the user list. Pro 9 is fully web based, which makes the program easy to extend to any desired person in an organization.

Logging in is accomplished using the user name and password, which are created using the Application Security role. One might also use the Windows login. Using the Windows login means that the users only have to start their computer with the proper user name and no further logging in to Pro 9 is necessary.

The system administrator usually carries out the task of adding or removing users. All users also have to be granted at least one role. The user's role membership controls the functions available to him/her, as well as the organizational level that is available. Through permissions you might limit a user to certain parts of the organization, or even to one special report only, etc.

Setting permissions to a specific function is normally carried out using Permissions in the desired function. A user might also temporarily want to delegate all his/her permissions to another user, which is done by using the settings accessed from the start page.


How to - View Permissions

  1. Click on Application Security in the navigation tree
  2. Select User permissions > Search user
    • The Search user view opens


How to - Add a New User

  1. Click add Icon Add.png
    • The Edit user view opens
  2. Enter all the mandatory data:
    • user id - The name must be unique. If Windows login is used, you must enter both the domain and user name. Example: DOMAIN\username.
    • password and confirmation of password - not needed if Windows login is used
    • email address
  3. Enter a description if needed - e.g. the name of the user if the user is not a person
  4. Check the user is system admin box if the user is system administrator
  5. Check the user may delegate its permissions box if the user is allowed to do this
  6. Check the user can see present period box if the user is allowed to see the present period and not only historic periods
  7. Check the user is measure group admin box if the user is a measure group admin
    • Measure group admins automatically get permissions on any new measure groups that are created
  8. Check the user is ProOpinion admin box if the user is a ProOpinion admin
  9. If the user has already been added as a person with the Persons function, you can associate the user account with that person:
    1. Check the user is the person box to activate the search box
    2. Enter the first or last name in the search box
    3. Click search Icon Search.png
    4. Select the person from the list box
  10. Check the active user box
    • If this box isn't checked, the user will not be able to log in
  11. Click save
  12. Give access to roles:
    • Select a permission template from the drop-down menu, if applicable, and click use next to the drop-down menu
    - and/or -
    • Select the proper roles for the user by checking the boxes in the list to the right
  13. Click save again
    • The user will be granted the permissions of the role(s)
  14. You can set additional permissions by selecting items from the expandable fields displayed in each tab


How to - Add a New User by copying an existing user

  1. Click add Icon Add.png
    • The Edit user view opens
  2. Enter all the mandatory data:
    • user ID - The name must be unique. If Windows login is used, you must enter both the domain and user name. Example: DOMAIN\username.
    • password and confirmation of password - not needed if Windows login is used
    • email address
  3. Enter a description if needed - e.g. the name of the user if the user is not a person
  4. Click save
  5. Enter the username or part of the username of the user wish permissions you like to copy in the copy permissions from user
  6. Click search Icon Search.png
  7. Choose the username in the drop-down list
  8. Click apply
    • All user permissions are copied too the new user from the existing one
    • It is possible to add more user permissions to the user if required


Note: This is only possible if no permission template is in use and it is not possible to copy permissions from the same user that is being edited.


How to - Find Users

All users that are to work with the Pro 9 application must be in the user list. Users who has finished working for the company or organization should be inactivated (the active user box should be unchecked). This is a way of saving the history, but preventing the user to log in to the Pro 9 application.

  1. Enter the first name, last name, user name or leave blank (to search for all) in the search user text box
  2. If you want to search for an inactive user, uncheck the only active box
  3. If you want to search for an ProOpinion user, check the only ProOpinion users box
  4. Click search
    • A table of users matching the search is displayed


Note: User created to only login to ProOpinion will not be set as an active user


How to - Multi Set Users as Active or Inactive

Set one or several users as active or inactive via the action menu.

  1. Find the user (according to the instruction above)
  2. Check all users you want to set as active/inactive
  3. Click the icon Icon Links.png to open the action menu in the toolbar above the table, and select user active
    • Select true to set user as activate
    • Select 'false to set user as inactive


How to - Remove the ProOpinion Role

Remove the ProOpinion role from one or several users via the action menu.

  1. Find the user (according to the instruction above)
  2. Check all users you want to remove the role from
  3. Click the icon Icon Links.png to open the action menu in the toolbar above the table, and select remove ProOptinion role
    • Only shown if the module ProOpinion is installed


How to - Reset Password

You can reset the password for a user who has forgotten it. A user could also change his password in the My account view.

  1. Find the user (according to the instruction above)
  2. Click the name of the user
  3. Click the reset password button
    • The password is reset
    • Click on the new password to open an email message to send to the user
    - or -
    • Click copy to clipboard to get a copy of the password to your clipboard


Note: When the password is reset, it is reset to a password according with the security level from system settings. Contact Servicedesk for information about security level.


How to - Add New Roles for a User

  1. Find the user (according to the instruction above)
  2. Check the boxes in front of the roles to assign them to the user
  3. Click save
    • The user will be granted the permissions contained in the role(s)
  4. You can set additional permissions by selecting items from the expandable fields displayed below the window


How to - Inactivate a User

A user who has been added cannot be removed. If an employee has finished working for the company, he/she should be inactivated.

Note: If the user have access to the ProOpinion role it has to be removed, see above

  1. Find the user (according to the instruction above)
  2. Uncheck the active user box
  3. Click save
    • The user data remains and the user name will be displayed with the active user box unchecked


How to - Unblock a Locked Out User

A user who has tried to log in to Pro 9 three times (the number is configurable) with the wrong password is locked out. This is shown by a check in the locked-out box. To unblock the user, follow the instruction below.

  1. Find the user (according to the instruction above)
  2. Uncheck the locked-out box
  3. Click save
