Manage Private Costs Rules
In the Manage private costs view, you can create rules to give the calls a default classification as private or business calls. By creating good general rules the idea is that the majority of all calls will be predefined correctly by the system so that the end user doesn't have to do many changes when attesting calls. There is also a setting managing if the end user can overrule the definition done by the system based upon the general rules. There may be different rule sets applied to different users, since for example persons scheduled to work weekends of course should not be part of a "calls on weekends are private" rule, if there was such a rule.
If they conflict, the phone numbers registered in the My phone numbers view have a higher priority than the general rules set up in the Manage private costs view.
Note: The My private costs rules functionality is part of the My private costs license.
How to - Show Manage Private Costs
- Click the role Invoicing in the navigation tree
- Click My private costs > Manage system rules
How to - Create a Rule
- Click add
- Enter a name that describes the rule
- Select if the rule applies to a specific consumption group or to none
- Select what priority this rule should have in relation to the other rules
- Select if the user should be able to override the rule
- If this box is not checked, the user will not be able to change the classification of the call that is set by this rule
- Define if this rule should classify the calls as private or business calls
- If the box private is checked, the rule will classify the calls as private, otherwise as business calls
- Select on what days the rule applies; every day or selected weekdays
- With this setting you can e.g. create a rule that classifies all calls during weekends as private calls
- Select at what times during the day the rule applies
- With this setting you can e.g. create a rule that classifies all calls during evenings and nights as private calls
- Select which traffic types the rule should apply to
- Select All or select a traffic category and move the selected traffic types to the right column by using the arrows
- Define any prefixes that the rule applies to
- With this setting you can e.g. create a rule that classifies all calls to numbers that are used within the company as business calls, if the phone numbers all are in the same series
- Click save to save the rule
How to - Change the Rule Priority Order
The list of rules is always shown in the priority order. The priorities define in what order the rules are applied to the calls when classifying them as private or business calls.
- To change the priority of a rule, use the arrows
- Click the arrow pointing up to move the rule one step up and give it a higher priority
- Click the arrow pointing down to move the rule one step down and give it a lower priority
Example: There is one rule that defines all calls to colleagues as business calls and one rule that defines all calls on weekends as private calls. If there is a call to a colleague during the weekend, the rule that is higher in the priority list will control whether it will be defined as a business call or a private call.
